Why does my unit jam or not recognize genuine bills?
If there are issues such as jamming, misfeeding, or tearing of bills it could be for the following reasons:
- Wrong bill loading, damaged or wrinkled bills. For proper use, please check the “Bill Loading Procedure” document.
- Improperly set feed gap. Please check the “Feed Gap Adjustment” procedure.
- Open the top cover of the unit and make sure the sensor block is properly closed. Please check the “Cleaning Procedure” document to locate the sensor block.
For optimal performance, it is advised to limit the counting to no more than 200 bills at a time.
How do I clean and maintain my unit?
Regular care and cleaning of the Kolibri KBR-500 are essential to maintain its performance and ensure longevity. Here are some important steps to follow:
- Turn off and unplug the machine before cleaning to avoid any risk of electrical hazards.
- Use an air duster and a soft bristle brush to remove dust or debris from the interior of the unit. This helps prevent buildup that could affect the performance of the sensors.
- Clean the sensors (Hopper, Stacker, and detection sensors) using the provided soft bristle brush or a dry cloth. Clean these components frequently to avoid dust accumulation, which could lead to errors or malfunctions.
- Clean rubber rollers with a slightly damp cloth. You may use a small amount of isopropyl alcohol to dampen the cloth. After cleaning, allow the rollers to dry completely before turning on the machine.
- When not in use for extended periods, cover the unit with the provided dust cover to prevent dust from settling inside.
- Weekly maintenance is recommended for optimal performance. For heavy usage, consider cleaning the machine more frequently to avoid buildup that could affect its operation.

How often does my unit need to be cleaned?
Kolibri suggests cleaning the unit at least once per week. For heavy use locations and operations, it is recommended to clean the unit daily to avoid heavy buildup that may cause improper operation. When the unit is not in use, Kolibri suggests covering the unit with a dust cover.
Why is my unit giving multiple Double/Chain errors?
To properly adjust the feed gap on the Kolibri KBR-500 and resolve issues like DOUBLE or CHAIN errors, follow these steps carefully:
- Power off the unit before making any adjustments to ensure safety.
- Locate the feed gap adjustment knob, which can be found at the back of the unit.
- Adjusting the feed gap:
- If you are encountering DOUBLE or CHAIN errors (multiple bills feeding at once), the feed gap is likely too wide. To fix this, tighten the feed gap by turning the adjustment knob clockwise. Start with a half-turn, then test the machine. Continue adjusting in half-turn increments, retesting after each adjustment, until the problem is resolved.
- If the machine is experiencing bill jams or the bills are being torn at the input, the feed gap is probably too narrow. To correct this, loosen the feed gap by turning the knob counterclockwise. Again, start with a half-turn, test the machine, and continue adjusting in half-turn increments as needed.
4. Important Note: The feed gap adjustment is sensitive, so proceed with small adjustments. Always test the unit with a stack of bills after each change to ensure the feed gap is correctly set. This method will help maintain smooth operation of the KBR-500.
What does this error code mean?
KBR-500 like all other discriminators on the market with integrated detectors, cannot guarantee a counted bill to be genuine or counterfeit.
There are several reasons a genuine bill may be recognized as counterfeit, or vice versa. Possible reasons include: direct sunlight exposure, worn bills, excessively dirty bills, or highly advanced counterfeiting techniques used to produce the bill. Separate equipment may be required to definitively determine whether a bill is counterfeit.

Can this unit count a mix stack of bills?
Yes, in MIX mode, KBR-500 counts a mixed batch of $10, $20, $50, $100 bills together, non-stop, quickly.
Does my unit detect counterfeit notes?
KBR-500 is designed to detect and flag any suspected counterfeit notes. This unit provides UV, MG, IR line anti-counterfeit feature detections.
What do MG, UV, and IR stand for? What’s the difference?
There are 3 main counterfeit detection techniques used in most discriminators and detectors:
- MG (Magnetic Detection) – US currency uses specific magnetic ink at exact locations to provide a unique magnetic KBR-500 on each denomination note. By scanning each bill for the presence and location of these features, the KBR-500 is capable of detection the minute magnetic signals present on these bills and will flag any notes that do not have these features present, in the correct locations. Certain counterfeit notes do not have the same features and will be rejected by the KBR-500 as ‘SUSPECT’.
- UV (Ultraviolet Detection) – This feature checks for UV-sensitive marks on bills that are invisible under normal light. Genuine currency often contains UV-reactive elements that glow under UV light. Counterfeit bills may lack or have irregular UV features, helping to differentiate them.
- IR (Infrared Feature Detection) – Similar to UV, US currency contains hidden infrared features that can only be detected by infrared illumination and detection. The KBR-500 scans each bill for the presence and accuracy of these features and fails any bills not meeting these criteria as ‘SUSPECT’.
What could cause false counterfeit detection?
There are a few reasons that a detector may flag genuine currency as a suspect. If bills are taped, worn, bent, torn, or crumpled, the anti-counterfeit features needed to verify a bill as genuine may be compromised. For example, the magnetic ink on a note may wear over time or heavy use, reducing the magnetic response to below detection thresholds. If the KBR-500 cannot verify the correct features expected on a note, the unit will flag that currency as ‘SUSPECT’.
If sensors are dirty or damaged, the KBR-500 will not be able to detect the necessary anti-counterfeit features needed to verify currency as genuine.
Another possible reason is that the detection sensors may be incorrectly calibrated, lost reference, or be under operating conditions that cause false positives. To reduce these error types, it is advised to operate the unit out of direct sunlight and reduce interference that may cause sensor errors. One of the primary causes of miscounting arises from incorrect loading of the currency into the machine. Typically, when this occurs, the KBR-500 will detect the error and prompt the user to reload the currency.
Another significant factor contributing to inaccurate counting is inadequate maintenance of the unit. Each sensor must remain clean and clear of any debris to ensure proper functionality. Given the intricacy of the sensing mechanisms, the unit must accurately detect all features expected of genuine currency. Failure to maintain cleanliness may result in both ‘SUSPECT’ errors and incorrect denominations.

Why does my unit reject so many notes?
Depending on the mode the unit is set to, the number of rejects may vary greatly. For example, in sort mode of a highly mixed stack of notes, ALL notes which do not match the first bill passed through the unit will be rejected. Another example is FACE mode, where all notes with the same face up on the first note passing through the unit will be rejected.
If sensors are dirty or damaged, the KBR-500 will not be able to detect the necessary anti-counterfeit features needed to verify currency as genuine.

Bill Loading Procedure
For optimal performance and to prevent issues like jamming, misfeeding, or bill damage, follow these steps for loading bills into the Kolibri KBR-500, which can count up to 1000 bills per minute:
- Adjust the bill guides: Set the bill guides to a width slightly wider (0.10” on each side) than the width of the bills in your stack. This ensures smooth feeding while accommodating slight variations in bill size.
- Inspect the bills: Remove or straighten bills that are excessively wrinkled, damaged, folded, soiled, or have foreign materials (like clips or bands). These can cause the machine to malfunction, so only use clean, flat, and undamaged bills.
- Square the stack: Ensure the bills are aligned neatly into a square shape to prevent misfeeds and ensure smooth loading.
- Start with manual mode: Begin by loading 100 bills at a time. Place the stack directly on the bill guide plate, ensuring the bills are leaning against the plate in the rear of the hopper.
By following these steps, you'll reduce the risk of malfunctions and increase the overall efficiency and lifespan of your Kolibri KBR-500. Once you're comfortable with the technique, you can gradually increase the stack size to a maximum of 200 bills for smoother operation.
Feed Gap Adjustment
To resolve issues like DOUBLE or CHAIN errors in the Kolibri KBR-500, adjusting the feed gap is essential. Follow these steps carefully to adjust the feed gap:
- Power off the unit: Ensure that the machine is turned off and unplugged to avoid any risk of injury during the adjustment process.
- Locate the feed gap adjustment knob: The knob is positioned at the back of the unit, designed to control the space between the rollers that feed the bills.
- Adjust the feed gap:
- If the unit pulls in multiple bills at once, leading to DOUBLE or CHAIN errors, tighten the feed gap. Turn the knob clockwise by a half-turn to narrow the gap. Test the unit to see if the issue has been resolved. Continue adjusting in half-turn increments, testing each time, until the error is eliminated.
- If bills are getting jammed or torn at the input, the feed gap is too tight, and you need to loosen it. Turn the knob counterclockwise by a half-turn to widen the gap. Again, test after each adjustment to check if the issue has been fixed.
Important Note: The feed gap is sensitive, so it’s crucial to make small, incremental adjustments. Test the machine with a stack of bills after each tweak to ensure the gap is correctly set, allowing for smooth operation and minimizing errors.

Cleaning Procedure
To maintain the Kolibri KBR-500, regular cleaning of sensors is essential to avoid errors like DOUBLE, HALF, UV, MG, or IMAGE. Here's a concise cleaning guide:
Preparation:
- Power off the unit and unplug it.
Cleaning Tools:
- Use mild cleaning solutions; avoid harsh chemicals like alcohol or thinner.
Routine Cleaning:
- Use the dry cloth and brush provided for cleaning sensors and rubber rollers.
- Use swabs and cards (or compressed air and a soft brush) for deeper cleaning.
Dust Protection:
- Use the dust cover when not in use to prevent dust buildup.
Cleaning Steps:
- Open the top cover.
- Lift the sensor block to access sensors.
- Clean the bottom IR sensor bar and top IR sensor with the provided fiber cloth or brush.
Sensors to Clean:
- Hopper: 1 sensor pair
- Stacker: 1 sensor pair
- Infrared (IR): 2 sensor bars
- Ultraviolet (UV): 1 sensor pair
- Magnetic (MG): 1 sensor pair

Calibration Procedure
The contact image sensor (CIS) within the unit is precisely calibrated at the factory. However, with regular use, the sensor's sensitivity may alter, potentially causing False Errors. To address this, the unit can be
recalibrated using the white calibration card provided with the product.
Calibration Steps:
- Power on the unit.
- On the control panel, press MENU, navigate to Service Menu, enter the password 9999, and select CIS calibration.
- The screen will prompt: "Please put the white paper." Carefully slide the calibration card in from the front until it stops without touching the impeller wheels.
- Once the card is positioned, press START on the display.
- If successful, the screen will show "adjust succeed". If "Down IR failed" appears, adjust the card’s position and repeat steps 3-4.
- Once calibration is successful, remove the calibration card and store it for future use.
- Power off the unit, then turn it back on. Calibration is complete.
This process ensures accurate sensor operation and reduces false errors.
External Printer Connection
The Kolibri KBR-500 provides the capability to view reports on its screen and to print them when connected to an external printer (please note: printer not included).
We recommend to use Kolibri KTP-1000 External Printer for seamless integration, however any compatible external thermal printer will do the job.
Please find the instructions below on how to connect Kolibri KBR-500 to the external printer.
1. Please connect the RS232 end of the cable that comes with printer to the RS232 port at the back of KBR-500.
2. The other side of the cable should be connected to the printer.
3. Once the connection is successfully established, ensure that both the Kolibri KBR-500 and the printer are powered on. Proceed to count the stack of bills of various denominations. Upon completion, press PRINT button on display to print the report.
